Your credentialing document kit

Think of this as your go bag. Build it once. Maintain it monthly.

Identity and core

  • Government issued photo ID
  • Social Security card if requested
  • Professional headshot if your agency uses it
  • Current resume
  • Two references list

Licenses and certifications

  • RN license, compact proof if applicable
  • BLS, ACLS, PALS as applicable
  • Specialty certs: CCRN, CEN, RNC, etc
  • NIHSS, TNCC, ENPC if required by specialty
  • State required modules if applicable

Compliance and health

  • Immunization record
  • TB test results and dates
  • Fit test and respirator clearance if required
  • Physical and health statement if requested
  • Background check receipts where applicable

Strong opinion, because it is true

A clean credentialing packet is leverage. It makes recruiters trust you, facilities approve you faster, and start dates stick.

Folder system that stays tidy

Simple beats clever. This structure works on Google Drive, OneDrive, Dropbox, or your desktop.

  1. 1

    Create a master folder

Name it Travel Nurse Credentialing. This is your single source of truth.

    Travel Nurse Credentialing
  2. 2

    Add six subfolders

Use numbers so folders stay in order.

    01 Identity and Resume
    02 Licenses
    03 Certifications
    04 Health and Compliance
    05 Education and Transcripts
    06 Contracts and Offers
  3. 3

Create a state folder when needed

When you apply for a new license, create a state folder inside Licenses with receipts and confirmations.

    Example

02 Licenses / California endorsement / Application receipt, fingerprints receipt, verification, board emails

File naming rules recruiters love

Naming is not cosmetic. It is operational. Searchable files get submitted faster.

Use this format

FirstName LastName - Document - State or Type - Exp YYYY MM DD.pdf

If there is no expiration date, remove that part.

Examples you can copy

  • Jane Nurse - RN License - Compact - Exp 2027 06 30.pdf
  • Jane Nurse - BLS - Exp 2026 01 15.pdf
  • Jane Nurse - ACLS - Exp 2026 01 15.pdf
  • Jane Nurse - TB Test - 2025 11 02.pdf
  • Jane Nurse - Resume - ICU.pdf

One clean trick

Put the expiration date at the end in year month day. It sorts correctly everywhere.

Scan quality standards

If a compliance specialist cannot read it, it does not exist.

Pass the readability test

  • Full page visible, no corners cut off
  • Text is sharp, not blurry
  • Good lighting, no shadows
  • File size reasonable, opens quickly

Best practices

  • Use a scanner app that outputs PDF
  • Flatten multi page documents into one PDF
  • Rotate pages correctly before saving
  • Do not password protect files unless required

Do this

  • Scan in a bright room
  • Preview before sending
  • Use PDF for multi page
  • Label files clearly

Avoid this

  • Photos of screens
  • Half pages or cropped edges
  • Unreadable dark scans
  • Random file names like IMG 4829

Renewals and expiration tracking

This is where pros separate from chaos. Keep renewals ahead of deadlines.

Monthly routine

  • Check expiring items in the next 90 days
  • Schedule renewals and required CE
  • Replace the old file in your folder
  • Send updated docs to your recruiter

Buffer rule

Renew certifications at least 30 days before expiration. Renew state licenses earlier if processing time is slow.

Deadline minus 30 days equals safe zone

When to alert your recruiter

  • New license issued
  • Certification renewed
  • Health document updated
  • Any name change or address change

Common submission mistakes

These mistakes cause the painful email chain. Fix them once.

High risk patterns

  • Sending photos instead of PDFs
  • Random file names that cannot be searched
  • Expired certifications mixed into the packet
  • Multiple documents combined in one file

Avoidable confusion

  • Name mismatch between license and ID
  • Missing expiration date visibility
  • Unreadable scan quality
  • Forgetting to include receipts when requested

Operational rule

You should be able to create a complete credentialing email in under 5 minutes. If you cannot, your folder system needs tightening.

Run this before you send anything. It prevents rework.

Credentialing documents FAQ

Fast answers for common submission questions.

PDF or photos

PDF is safer, cleaner, and easier for compliance teams to store. Use a scanner app to create readable PDFs.

How often should I update my folder

Do a quick check monthly and a deeper review when you renew a license, certification, or health requirement.

Should I combine documents into one big file

Usually no. Keep one file per document unless your recruiter specifically asks for one combined packet.

What is the fastest way to reduce back and forth

Clean file names, readable scans, current expiration dates, and receipts for any verification or submission steps.

Turn credentialing into a repeatable system

Build a clean kit once, track renewals monthly, and submit fast without stress.
